Follow up with a prospect as long as each message adds something, and no further: a Muzau agent follows up three times by default, at D+3, D+7 and D+14, up to six times if you set it. It stops as soon as the prospect replies or asks not to be followed up, and one person never receives more than one scheduled message per 24 hours, all agents combined. At the start, every follow-up waits for your approval.
A prospect who does not reply has not necessarily said no. They may have read your email between two meetings, be waiting for a partner's opinion, or have forgotten it under the ones that came after. Stopping after a single follow-up, for fear of bothering them, can lose a deal that is still open.
Conversely, one more follow-up that says nothing new wears the relationship down. The right number depends less on a figure than on three rules: each message adds something, the gap between messages grows, and everything stops at the prospect's first signal, whether they reply or ask not to be followed up. That discipline, more than the count, is what the agent keeps up alongside your team.
With no other instruction, the agent follows up three times after you send: at D+3, D+7 and D+14. You change this rhythm by asking the Workshop, up to six follow-ups, each spaced 1 to 90 days after the previous one. Whatever the setting, one person never receives more than one scheduled message per 24 hours, all agents combined. In Manage, each follow-up to approve shows its rank ("1st follow-up", "Follow-up no. 2"): you see where the prospect stands. For the gap itself, see how long to wait between two follow-ups.
The setting applies to everyone, but you can shorten one person's series. Cancelling a later follow-up lets the earlier ones go out, and the follow-up stops at that one: cancel the third, and this prospect receives only two. Cancelling the next one stops all their follow-up, and "Undo" restores it as it was within the minute that follows. For a person you should no longer contact at all, "Never follow up" removes them from later reviews and from every follow-up.
The follow-up stops as soon as the prospect replies, even from another address in the same thread, for example a partner replying for them. A reply by SMS or in your site's chat stops it too, when it is tied to the same email address. An out-of-office message does not count: the series continues. It also stops when someone on the team writes to them from a connected mailbox or from Muzau, when another agent writes to them by email, or when an agent books a meeting with them: the details are in the follow-up that goes out just after you wrote.
A person who replies STOP, "do not contact me again" or "remove me from your list", or who clicks the unsubscribe link, goes on your business's do-not-contact list. No follow-up goes out to them any more, whichever agent. A STOP merely quoted under a "yes, interested" does not count.
The number is decided before the first follow-up, not at the moment you hesitate to send the fourth. A few guidelines:
An example of a last follow-up, to adapt: "Hello Marc, I understand the timing may not be right, and I am closing this subject on my side. If the project comes back, just reply to this email: everything is in the thread."
After this last follow-up, move on: a call if the stakes justify it, otherwise a note to come back to them later. For the tone of each message, see how to politely follow up on an unanswered email.
Autonomous does not mean unchecked. You set the level of autonomy of every agent, its limits cannot be crossed, everything it does is recorded in a plain-language log, and one gesture stops it all.
