Follow-up rhythm

How long should you wait between follow-ups?

Between follow-ups, wait longer each time: a few days before the first, a week before the third. Unless you say otherwise, a Muzau agent follows up your email at D+3, D+7, then D+14 after it was sent, which is gaps of 3, 4, then 7 days, and you set each gap from 1 to 90 days. It stops as soon as the person replies. To begin with, every follow-up waits for your approval, and you can move it to another day the agent runs.

Why the time between follow-ups matters

Too early, and the follow-up lands before the customer has had time to read, compare or ask for an opinion: it pushes more than it helps. Too late, and the conversation has gone cold, the customer no longer quite remembers what you offered, and the decision may have been made without you.

The hard part is not knowing the right gap, it is keeping to it. Every follow-up due has to be worked out by hand, noted down somewhere, and sometimes falls on a Saturday or on the day a colleague has just written to the same customer. Your team keeps the relationship and the judgment; the agent keeps the follow-up calendar.

A gap that grows between follow-ups: D+3, D+7, D+14

By default, the agent follows up three times: at D+3, D+7 and D+14 after you send, which is 3 days, then 4, then 7 between follow-ups. You change this pace by asking the Workshop: up to six follow-ups, each spaced 1 to 90 days apart. Each follow-up counts its delay from the previous one. For an email handed over that is already more than 3 days old, the first follow-up therefore goes out on the next run, and the later ones shift by the same amount. If you resend the same quote in the same thread, the sequence starts again from zero at that resend, unless it arrives more than 30 days after the follow-up was opened.

No follow-ups at the weekend by default

Follow-ups go out on the days the agent runs: by default Monday to Friday, at 9 a.m., Paris time. A follow-up that falls on a Saturday or Sunday goes out on the next day the agent runs. The days and the time are set on the agent's page.

A follow-up pushed back when another message goes out the same day

The planned delay can stretch by 2 days at most. The same person never receives more than one scheduled message per 24 hours, all agents combined. If a follow-up falls on the day of another send, it is postponed. Beyond 2 days late, it does not go out, the rest of the sequence stops for that person, and their line says so.

You stay in control of each follow-up's date

In Management, you read every planned follow-up in advance, as it will go out. You can move it to another day the agent runs, with no duplicate and without losing the text already prepared. A later follow-up can also change day, as long as it stays after the previous one. Everything stops as soon as the person replies, or when someone on the team writes to them from the connected inbox.

How to choose the time between follow-ups

With or without a tool, a few guidelines help you set the gap.

An example: a quote sent on a Tuesday gets a follow-up on Friday, then the following Tuesday, then the Tuesday after. Sent on a Wednesday, its first follow-up would fall on a Saturday: move it to Monday. To know where to stop, see how many times to follow up a prospect; for the wording, how to follow up politely on an unanswered email. For an invoice, the due date sets the start: see when to chase an unpaid invoice.

What it does not do

Autonomous does not mean unchecked. You set the level of autonomy of every agent, its limits cannot be crossed, everything it does is recorded in a plain-language log, and one gesture stops it all.

Frequently asked questions

Can you send a follow-up on a Sunday?
Nothing forbids it, but a professional email sent on a Sunday is often read on Monday, among others. A Muzau agent does not follow up at the weekend by default: a follow-up that falls on a Saturday or Sunday goes out on the next day the agent runs, at 9 a.m., Paris time.
Should you follow up the day after sending?
Rarely: the customer often has not yet had time to read or decide. Unless you say otherwise, a Muzau agent waits until D+3 for its first follow-up, and only suggests following up a conversation if your business wrote last at least 3 days ago.
Should you start from zero when you resend a quote?
Yes: the resend becomes the new starting point. With a Muzau agent, when the same quote is resent in the same thread, the follow-up sequence starts again from zero at that resend, unless it arrives more than 30 days after the follow-up was opened.
What time should you send a follow-up email?
Aim for early morning on a working day: sent in the evening, the follow-up waits until the next day under the night's emails. A Muzau agent sends its follow-ups at 9 a.m., Paris time, Monday to Friday by default, and these days and this time are set on its page.
Should every customer get the same follow-up delay?
No: match the gap to the stakes and to what the customer announced. With Muzau, the pace is set for the agent; for a specific person, you move a planned follow-up to another day the agent runs, or you cancel it.
