Polite follow-up

How do you follow up politely on an email with no reply?

To follow up politely on an email with no reply, write short, stay in the original thread, ask for the next step and never blame the silence. A Muzau agent drafts your follow-ups with that rule: when a proposal is waiting for an answer, the first one simply asks what comes next, and the next one brings a new angle drawn from the exchange. At first, every follow-up waits for your approval: you read and correct the text before it goes out.

Why a follow-up feels impolite

We hesitate to follow up for fear of bothering someone. So we apologize, go over all the context again, slip in that we have "still not heard back", and the follow-up ends up longer and heavier than the first email. It is the follow-up that annoys the reader, not the fact of being followed up.

A polite follow-up respects the reader's time: it can be read at once, sits under the first message and asks for one thing that can be answered in a line. Your team keeps the relationship and chooses who to follow up; the agent takes on the writing of each follow-up. A polite follow-up is short and asks what comes next

A Muzau agent is set to write short. For a proposal with no reply, it does not ask whether the topic "still interests you": that is the question that invites a no. Its first follow-up simply asks for the next step, and the next one brings a new angle drawn from the exchange. Its rule is never to blame the person for not replying, and never to make anything up: it relies on the exchange and on what your business has taught it.

The follow-up goes in the thread of your first email

A Muzau follow-up goes in the same thread as your original email, with the team member who sent it in copy. It goes from your Gmail or Outlook inbox when connected, otherwise from the agent's address. Because the exchange comes from you, it carries no unsubscribe option: a personal message should not look like a newsletter.

You review each follow-up before it goes out

On the Follow-ups screen in Muzau, you read and correct the text before handing the follow-up over. If you click "Send", it goes out word for word. At first, later follow-ups wait for your approval in Manage, under "Follow up?"; you can later let the agent send them on its own. "Don't send" offers to postpone it, stop the follow-up or correct the text. You can also read a planned follow-up in advance, or save your own text for that person: it will go out at its time.

Your edits set the tone of later follow-ups

If you edit a Muzau follow-up before sending it, the direction you took becomes a rule for all your agents from the very first time: shorter, another tone, another phrasing. You can also have a planned follow-up rewritten with an instruction, such as "shorter, suggest a call": it is kept for the follow-ups of all your agents. A corrected typo teaches nothing, and a sentence specific to one customer does not become a rule.

The outline of a polite follow-up, and the phrases to avoid

With or without a tool, a polite follow-up follows this order.

The phrases that spoil a follow-up:

An example: "Hello Claire, I'm getting back to you about the quote sent last week. Would you prefer we talk on Thursday or Friday?" For when to stop, see how many times to follow up a prospect; for an invoice, the tone changes: see what tone to use to chase an unpaid invoice.

What it does not do

Autonomous does not mean unchecked. You set the level of autonomy of every agent, its limits cannot be crossed, everything it does is recorded in a plain-language log, and one gesture stops it all.

Frequently asked questions

What subject line should I use to follow up on an email with no reply?
None new: reply in the thread of your first email, so the customer finds the original subject and your message right below it. That is what a Muzau agent does, whose follow-up goes in the same thread as your email, from your inbox when connected.
What wording politely follows up on a quote?
Name the quote and ask for the next step, for example: "I'm getting back to you about the quote sent last week: can we set a time to approve it together?" Avoid asking whether the project still stands, the question that invites a no.
How do you follow up politely on an email in English?
The rule is the same: short, in the thread, a single request, for example "Just following up on my email below: would Thursday work for a quick call?". A Muzau agent writes its follow-ups in your business's working language; for an English-speaking customer, you save your own text, which will go out at its time, word for word.
How do you follow up without seeming pushy?
Space the follow-ups out, stop at the first reply and respect a refusal. A Muzau agent never sends more than one scheduled message per 24 hours to the same person, all agents combined, stops as soon as they reply and no longer follows up with anyone who asks not to be contacted.
What sign-off should I put at the end of a follow-up?
Reuse the one from your first email, for example "Best regards" or "Have a good day": a polite follow-up does not change tone. Avoid endings that press, like "please reply quickly": the request is already in the message.
