Attached documents
How do you send a OneDrive or Dropbox file by email to a customer?
To send a OneDrive or Dropbox file by email to a customer, attach a copy of a short document and keep the sharing link for a large file. With Muzau, you choose the documents an agent can attach, and who can receive each one. When a customer asks for one, the Muzau agent attaches it to its reply, sent from the business mailbox without you or after your approval. It never sees the rest of your space.
Why a simple document is slow to go out
A customer asks for your terms and conditions, the brochure or a certificate. The file exists, somewhere in OneDrive or Dropbox. You have to find it, check it is the right version, choose between the attachment and the sharing link, then set the link's permissions. Nothing difficult, but the request waits until someone finds a moment, and the customer waits for an answer.
The sharing link has its own traps: open to "anyone with the link", it gets passed around; restricted, it makes the customer sign in; and a deleted file breaks the link you sent the day before. For the documents you send often, the real question is not where to look for them, but who is allowed to receive them.
How the agent goes about it
- Input
- A customer asking for a document by email
- It does
- Takes the document from those you chose, checks that this customer can receive it
- It delivers
- A reply with the file attached, sent from the business mailbox
The agent only sees the documents you chose in OneDrive or Dropbox
OneDrive, SharePoint, Dropbox or Google Drive connect once, from the Tools page. On the Data page, you then choose, one by one, up to 50 documents the agents can attach: brochure, terms and conditions, certificate. Muzau only sees the files you opened to it or that it created itself, never the rest of your space: the team's folders stay out of its sight.
You choose who can receive each document
For each document, you say who can receive it: everyone, your customers, or your team only. It is the platform, not the AI, that establishes who is writing: for Muzau, a customer has a record in your follow-up and an email whose sender is authenticated. A brochure open to everyone can go to anyone who asks. Terms reserved for your customers do not go out on their own to someone your follow-up does not know: the reply waits for you in "To approve".
The file goes out as an attachment, from the business address
The agent attaches the file to its reply, which leaves from the connected business mailbox, Gmail, Outlook or another mailbox, with your address. The short email that comes with the file draws on what the Brain knows about your business, like any AI reply to your customers' emails. Why an attachment rather than a link: a reply that contains a link to a site other than yours, a Dropbox sharing link for example, never goes out on its own. It waits for you, and one click is enough if it is right.
The agent attaches the document on its own, or after your approval
On the Autonomy page, "Attach a document" has its own line: agents do it on their own, or submit it to you, with a separate setting for those that talk to customers. In "To approve", you read the reply, fix the text or have it rewritten, then send it or set it aside. For the commercial proposal filled in after a meeting, see the proposal drafted from the note.
Attachment or sharing link: sending a OneDrive or Dropbox file
With or without an agent, the choice depends on the document, not on the tool where it is stored.
- The attachment for a short, final document: brochure, terms and conditions, certificate, quote. The customer keeps it, even if you move the file. In Outlook, a OneDrive file is attached "as a copy" rather than as a link.
- The sharing link for a large file or one that will change: a video, a full catalog, a folder of several files.
- A link set up before sending: access limited to named people rather than "anyone with the link", read-only, an expiry date when the tool offers one.
- A PDF rather than an editable file: the customer reads what you wrote, without changing it by mistake.
- A name the customer can read, "terms-and-conditions-your-company.pdf" rather than "CGV_v3_final_ok.docx": they see it in their inbox before even opening the email.
- A sentence saying what the document is and what the customer should do with it: read it before the meeting, sign it, pass it to the right person. A file without explanation often stays unopened.
- A last look at the recipients, copies included: a document reserved for your customers has no business with a third party.
The document goes with a reply, it does not replace one: for the reply itself, see how to reply to a quote request by email.
What it does not do
- It does not browse your OneDrive or your Dropbox: it only sees the documents you chose for it, one by one.
- It does not decide who can receive a document: you set its audience, and a document reserved for your customers waits for your approval before going to someone your follow-up does not know.
- It does not send a sharing link on its own: a reply that contains a link to a site other than yours waits for you in "To approve".
Autonomous does not mean unchecked. You set the level of autonomy of every agent, its limits cannot be crossed, everything it does is recorded in a plain-language log, and one gesture stops it all.
Frequently asked questions
- How do you attach a OneDrive file in Outlook?
- Add the file from OneDrive as an attachment, then choose "Attach as copy": the customer receives the file itself and keeps it, even if you move it. Sharing by link suits a large file or one that will change.
- How do you send a Dropbox link by email without it being passed around?
- Before sending, limit access to invited people rather than "anyone with the link", read-only, with an expiry date if the tool offers one. A deleted or moved file breaks the link: for a document the customer should keep, attach the file instead.
- Can an AI access my whole OneDrive?
- A Muzau agent cannot. It only sees the documents you chose, one by one, up to 50; the rest of your OneDrive or your Dropbox is closed to it.
- How do you reserve a document for your customers?
- With Muzau, you choose for each document who can receive it: everyone, your customers, or your team only. For Muzau, a customer has a record in your follow-up and an email whose sender is authenticated; to anyone else, the document waits for your approval.
- Can an AI read the attachments a customer sends?
- A Muzau agent reads PDFs, except scanned ones, Word .docx files, Excel and CSV files in emails that reach its address or are forwarded to it, and takes them into account in its reply. In a connected mailbox, it only reads the names of the attachments.
