To chase a customer who has not signed their quote on Yousign or DocuSign, connect the signing tool to Muzau. A Muzau agent follows the email where you sent the quote and, until the signature arrives, follows up with the customer in that thread, by default at D+3, D+7 and D+14. To begin with, you approve every follow-up. Follow-ups stop as soon as it is signed, as soon as the customer replies, or as soon as a colleague writes to them from a connected inbox.
The customer said yes in a meeting or on the phone, the quote went out for signature, then nothing. The link sits among other emails, the person who signs is not the one who read the quote, or a question is left hanging and nobody asks it. This silence is rarely a refusal.
You hesitate to chase a customer who has almost said yes, and the quote goes cold. Your team keeps the negotiation and the relationship; tracking the quote until it is signed and writing the follow-ups is the part the agent takes on. For a quote without a signature link, see quote follow-up.
Put the agent's address in copy of the email where you send or announce the quote: a case opens (date, customer, subject), without sending anything to anyone. Or let the agent read the Sent folder of your Gmail, Outlook or another inbox, following a rule you set, for example a subject containing "Quote"; the inbox is read every fifteen minutes.
Until the signature arrives, the agent follows up with the customer in the same thread as your email, from your company's inbox when it is connected, with the person who sent the quote in copy. By default, follow-ups go out at D+3, D+7 and D+14, Monday to Friday at 9 a.m.; you can go up to six follow-ups, spaced 1 to 90 days apart. The agent is set to write short. The first follow-up asks for the next step, the second brings a new angle drawn from the exchange. It is instructed never to reproach the silence. To begin with, every follow-up waits for your approval in the Manage page of Muzau, under "To follow up?": you send it, postpone it, edit the text or stop the tracking.
With Yousign or DocuSign connected, a signed quote is visible: follow-ups stop and, if you have planned a next step, the case moves on to it. For a quote signed on paper or sent back as a PDF, the "signed" or "accepted" status is enough to close the tracking. The rest is detailed in stopping the tracking once the quote is signed.
The follow-up stops as soon as the customer replies, even from another address in the same thread, for example the person who signs on their side; an out-of-office message does not count. It also stops when someone on the team writes to them from the connected inbox or from Muzau, and the tracking line says who wrote, and when.
The customer has only one thing left to do: the follow-up should make it easy for them, and leave them a way out if they hesitate.
A skeleton for the follow-up: "Hello [first name], I'm getting back to you about quote no. [reference], sent for signature on [date]. If it suits you, only the signature is left, and we can [the next step]. If something is holding you back, tell me and we will adjust it. Would you like me to resend the link?"
To avoid: resending the link with no message; writing in a new thread; lowering the price at the first follow-up; carrying on chasing a customer who has signed. For the big picture, see following a request through to the signature.
Autonomous does not mean unchecked. You set the level of autonomy of every agent, its limits cannot be crossed, everything it does is recorded in a plain-language log, and one gesture stops it all.
