To stop following up a customer once the quote is signed, connect Yousign or DocuSign: a Muzau agent sees the signature, stops the follow-ups and closes the case or moves it to the planned step. Signed on paper or confirmed by email, the quote is closed by its status: "signed" in your file, and nothing is followed up any more. You write that status; the agent can also change it based on the customer's email, if you allow it.
The customer has signed, but the scheduled follow-up does not know it. It goes out a few days later to ask for an answer they have already given. They then wonder whether anyone is keeping track of their case, right after trusting you.
The signature often arrives somewhere other than the inbox: on a signing platform, on paper, in a PDF sent back. The signature has to become a signal the follow-up knows how to read. Your team keeps the relationship and the rest of the project; stopping in time what has to stop is the part the agent takes on.
Yousign and DocuSign connect in Muzau's tools. When the customer signs, the agent sees it: the follow-ups on that quote stop, and the case moves to the next step planned in your settings, or its follow-up ends there. For a quote that has been sent but not yet signed, see following up a quote waiting for a signature on Yousign or DocuSign.
For a quote signed on paper, in a PDF sent back or with a "approved" note, the status column speaks. Muzau knows four states: in progress, settled / accepted, overdue / unpaid, closed / lost. "Signed", "accepted", "won", "paid" or "settled" files the row under "Settled / accepted", and nothing is followed up any more. "Not signed" stays in progress, and a word Muzau does not recognize gives "Unknown": the row stays followed. A quote copied to the agent has its row in its file, where the status can be corrected by hand. On a tracked Google Sheets sheet, change it in the sheet: it is reread before each of the agent's runs, and it is the one that counts.
If you give it the right, the agent sets the case to "accepted" when the customer writes it by email, and confirms it back to them. This right is off by default, applies only to the cases of the person who writes, and follows your autonomy settings: the action can wait for your approval. It applies to a Muzau file or one imported as CSV, not to a tracked Google sheet.
A customer who replies to say yes already stops the follow-up, like any reply the agent sees (an out-of-office message does not count); their case stays in progress until the status is written. The follow-up also stops when a colleague writes to them from their connected inbox or from Muzau, or when an agent books a meeting with them. In the schedule for the next 14 days, "Cancel sending" on their next follow-up stops all of that person's follow-up in one move. The file row then shows, dated, "follow-ups stopped".
The customer should feel that someone has seen their yes, and know what happens next.
A skeleton for the thank-you: "Hello [first name], thank you for signing quote no. [reference]. Next step: [step], with [person], by [date]. I remain your contact for any question."
To avoid: letting a "did you have a chance to look at our quote?" go out after the signature; changing contact without telling the customer; slipping a new offer into the thank-you. If the deposit is late, see what to do when the deposit has not been paid, and for the whole journey, following up a request through to the signature.
Autonomous does not mean unchecked. You set the level of autonomy of every agent, its limits cannot be crossed, everything it does is recorded in a plain-language log, and one gesture stops it all.
