To tell a customer whether the meeting is by video or in person, set it on the Muzau agent: it writes it into the meeting it books, and the site chat can announce it as soon as it offers time slots. In person, the invitation carries the address to come to, with no video link. By video, with a connected calendar, Google Calendar adds a Google Meet link, and Outlook the one from its default tool, often Microsoft Teams. The meeting is booked on its own or after your approval.
The customer picked their slot, the invitation arrived, and nothing says where to meet. They wonder whether to come or wait for a link, write to ask, or show up at your address while the team expects them on video. Sometimes the email says "the link will be sent to you", and the link never arrives.
The location is decided once, but it has to be stated again for every meeting: in the proposed slots, in the invitation, in the confirmation. Your team decides how it receives people; the agent starts from that setting for every meeting it books.
When you create the agent, you say whether your meetings are held by video or in person, and at what address. You can change the setting later on the agent's page. In the site chat, the agent knows it when it offers slots and can tell the visitor before they choose, and the booked meeting then carries it. Booking in the chat is covered on the appointment booking chatbot page.
For an in-person meeting, no video link is created. The address you set appears in the invitation and, when the agent replies by email, in its confirmation: the customer does not have to look for it. If you are the one traveling to the customer, leave the address empty, and nothing is written by mistake. In the chat, you can then add their address to the details to ask for once the slot is chosen.
With Google Calendar, the agent books the meeting in your main calendar, adds the customer as a guest and a Google Meet link. Google sends the invitation and, for a request received by email, the agent replies to the customer in the same thread with the confirmation and the link. With Outlook, Outlook sends the invitation. The link is the one from the video tool your account uses by default, usually Microsoft Teams for a work account, and the agent confirms in the same thread. Depending on your setting, the meeting is booked on its own or waits for your click in "To approve".
Without a calendar Muzau can write to, the agent sends a calendar invitation by email, the same to the customer and to you. For an in-person meeting, the address is in it. For a video meeting, it contains no link: send it yourself, or connect Google Calendar or Outlook. A connected calendar without permission to write only serves to offer slots: reconnect it so the agent books the meeting and its link. See also meetings without a connected calendar.
With or without an agent, the customer should know where to meet by reading a single line. The location is stated from the proposed slots, because a trip changes which time suits them, then stated again in the confirmation. A good line stands on its own: "By video on Google Meet: the link is just below" or "At our office, second floor: ask for Claire at reception".
Two mistakes come up often. A video link left in an in-person meeting makes the customer think they can stay at their desk. And a change of format agreed by phone, with no new email, leaves the old invitation as the reference: if the format changes, send a new invitation, not just a message. For what comes next, see how to arrive prepared for a first meeting.
Autonomous does not mean unchecked. You set the level of autonomy of every agent, its limits cannot be crossed, everything it does is recorded in a plain-language log, and one gesture stops it all.
