For an internal sales visit report without an Excel spreadsheet, let the note fill in the customer's record. After each meeting noted in Granola with the customer as an invitee, a Muzau agent files what they said on their record: need, budget, deadline, decision-maker, project, objection, each dated and linked to the note. The records can be viewed in Muzau and downloaded. You keep the visit and the judgment; the recap to the customer waits for your approval.
The Excel visit spreadsheet starts with good intentions: one row per customer, a column for the need, one for the budget, one for the next step. In practice, it gets filled in at night, from memory, between two trips. The hard cells stay empty, the customer's words become the salesperson's, and the file lives on a single computer. If it also serves to follow up with your customers, see how to go from an Excel file to follow-up that actually gets done.
The problem is not the team's rigor. The visit note already exists; copying it into a spreadsheet is a second entry, the first thing to go when the day overflows. The agent starts from that note. You keep the visit, the relationship and the judgment; it does the tidying up.
After each meeting, the agent writes on the customer's record their need, their budget, their deadline, who decides, their project, their objection and what they say about the business. When the transcript gives them, it also notes whether you use first names or formal address and the tone of the relationship. Each item carries the date of the meeting and the link to the note. With the Granola transcript, an item is kept only if the customer's sentence appears in it word for word; without it, the item is taken from the note's summary. Nothing is kept on a sensitive subject.
When you see the customer again, their record is completed. An older note never overwrites a more recent statement: if the budget has moved between two visits, the latest one stated stays, with its date. The note itself is not kept, only the items retained and their link.
The record is filled in for the outside participants the Granola note knows about: the meeting invitees. For a visit at the customer's site with no invitation in the calendar, the note knows nobody. You fill in the address before sending the recap, and the customer then joins "Customers met", but without the items from the visit. A note typed elsewhere and forwarded by email also produces a recap, but no items on the record.
The file can be viewed in Muzau, with all its columns on screen, and downloaded as a CSV from its page. On the morning of the next meeting, if it is in the connected calendar or set up by Muzau, the salesperson receives a brief from 7 a.m. drawn from the customer's record. For this brief, see preparing a meeting with a customer you have already met.
With or without a tool, a visit report serves whoever sees the customer next, you in a month or a colleague tomorrow. It should be readable in a minute and say where the sale stands.
Three mistakes come up often. Mixing what the customer said with what you think of it: keep your impressions apart, flagged as such. Putting it off until tomorrow: a few lines right after the visit beat a full spreadsheet three days later. Noting what has no place in a customer file: health, opinions or private life do not belong there.
This internal report is not the email sent to the customer, which is written separately and is shorter: see the sales meeting recap. If your visits also need to go into a CRM, see how to update it after a meeting.
Autonomous does not mean unchecked. You set the level of autonomy of every agent, its limits cannot be crossed, everything it does is recorded in a plain-language log, and one gesture stops it all.
For the tasks you don't have time for. You give the address of your website, then describe the work in your own words. Nothing to install.
