How many reminders you send before a formal notice is up to you: a Muzau agent sets no number and sends no formal notice. It handles the friendly reminders, up to six, on the days you choose, a notch firmer from the second one, with no threats. Each invoice line shows the agent's last action, dated, and the decision to go further stays with your team.
An unpaid invoice is not always a refusal to pay. Sometimes it is waiting for someone who is away or for an internal approval, or it went to an address nobody reads. The first reminders are there to find out. If they go out whenever someone remembers, the client does not grasp what is at stake, and your team no longer knows what was sent.
Before a formal notice, what matters is to have reminded clearly, at a steady pace, and to know what went out and when. The formal notice itself is decided inside your business, with your legal adviser if needed. The agent handles the friendly part, alongside your team.
A Muzau agent starts from the invoice email sent from your Gmail or Outlook inbox, or from a file or a Google Sheet where each invoice has its due date. You set the number of reminders in the Workshop, up to six, and the gap between them, from 1 to 90 days: that number, written in advance, is your threshold before a formal notice.
Each reminder cites the invoice reference, amount and due date, then gets firmer from the second one, with no threats. Depending on your autonomy settings, each reminder waits for your approval in Management, with its place in the series. You can also save your own text, which goes out word for word. For the tone, see what tone to use when chasing an invoice.
Each line of the invoice file shows the Muzau agent's last action, dated: "message no. 2 sent" or "reminders stopped". In a Google Sheet that has an invoice number column, this tracking is written in a "Muzau follow-up" column, without touching yours. When the agent chases an invoice email, each reminder goes out in the same thread, from your business inbox when it is connected: the thread keeps every reminder.
Reminders stop as soon as the client replies, the team writes to them or the invoice is paid (billing software connected, or a line marked "Paid" in a Google Sheet). When you decide to move to the next step, cancel the next reminder in Management: all follow-up for that client stops, and their line shows "reminders stopped". The agent sees neither a phone call nor a letter: this step keeps a friendly reminder from going out after your formal notice.
The number of friendly reminders is decided in advance, in writing, so every client is treated the same way. Before the next step, check that:
The last friendly reminder is worth writing yourself. It takes three sentences. The first recalls the reference, amount, due date and the dates of the reminders already sent. The second asks for a precise payment date, or a reply if something is blocking. The third says, with no threat, that this friendly reminder is the last and that the file will then move to the planned step. For the gap between each send, see when to chase an unpaid invoice.
Autonomous does not mean unchecked. You set the level of autonomy of every agent, its limits cannot be crossed, everything it does is recorded in a plain-language log, and one gesture stops it all.
