Do not chase a customer who disputes their invoice until the disagreement is settled: answer the substance first, then follow up on what was agreed. A Muzau agent stops the reminder as soon as the customer replies by email, and the answer on the substance stays with your team. If they dispute it by phone, the agent cannot see it: cancel their next reminder yourself in Muzau, and all their follow-up stops.
A customer who disputes their invoice is not a late customer. As long as the disputed point stays open, one more reminder will not make them pay sooner: it shows them that their reply was not read.
An invoice reminder gets firmer from the second one on. Received in the middle of a disagreement, it turns a question about one line of the invoice into a dispute about the relationship. Your team keeps the discussion and the decision: correct it, make a goodwill gesture or stand by the amount. The reminder, meanwhile, has to stay quiet.
As soon as the customer replies by email, a Muzau agent stops the reminder for their invoice, even if they reply from another address in the same thread, a partner's for example. An out-of-office message does not count. A reply by SMS or in your website chat stops it too, if it is linked to the same email address. A dispute, a request for more time or an announcement of payment: the reminder stops the same way, and your team reads the reply, in your Gmail or Outlook inbox when it is connected. If they write "stop contacting me", they go on your do-not-contact list: no reminder goes out to them any more, whichever agent it is.
A Muzau agent does not see a call, nor an email sent from an inbox that is not connected. Open the "Management" page in Muzau and cancel that customer's next reminder: all their follow-up stops, and their line shows "reminders stopped". If the reminder is already waiting for your approval, under "To chase?", click "Don't send": Muzau offers to stop the follow-up and asks for the reason.
When someone on your team writes to the customer from the connected inbox, or from Muzau, the reminder stops on its own. Reminders that were waiting for your approval are withdrawn, and the follow-up line says who wrote and when. After a call, the email confirming what was agreed therefore stops the reminder as well. Send the corrected invoice under its own subject, with the agent's address in copy: it opens a new follow-up, chased at D+3, D+7 and D+14 by default, a rhythm you set. The old invoice is no longer chased: for a given customer, only the most recent exchange is. In "Management", you read each planned reminder as it will go out, and have it rewritten with an instruction, for example "mention the correction we agreed", or put in your own text. As long as approval is on, it waits for your go-ahead before going out.
With or without a tool, a dispute is handled in this order, and the reminder comes back only at the end.
A skeleton reply, to adapt: "Hello, thank you for flagging [the disputed point] on invoice no. [reference]. I went back over [the quote, the purchase order]: [what you find]. I suggest [the correction, or keeping the amount and why]. If that works for you, I will send you [the corrected invoice] with a due date of [date]."
To avoid: a reminder going out during the discussion; a reply fired off in the heat of the moment; two people on the team answering separately; a commercial offer slipped into the reply. Once you have an agreement, chasing goes back to normal: see how to chase an unpaid invoice by email, and the tone to use.
Autonomous does not mean unchecked. You set the level of autonomy of every agent, its limits cannot be crossed, everything it does is recorded in a plain-language log, and one gesture stops it all.
