How do you send a customer the recap of a Zoom or Google Meet call?

To send a customer the recap of a Zoom or Google Meet call, connect your video tool to Muzau. After each video call with a customer, a Muzau agent drafts the recap email: what was said and decided, then the next step. When the customer is the only outside participant, their address is already filled in. The recap waits for your approval, then the agent follows up with the customer who has not replied, by default at D+3, D+7 and D+14.

Why the recap of a video call does not reach the customer

Zoom and Google Meet can produce a summary of the meeting: the topics covered, what was decided, the actions to follow. That document is written for the team: it does not say which address to write to, or what to remove before sending it.

On video, meetings run back to back with no travel in between, and the email promised to the customer waits until the evening. On the customer's side, there were often two or three people on screen: you still have to know who to write to. Your team keeps the call and the relationship; turning the summary into an email is the part the agent takes on.

The video appointment set up with a Google Meet link

When a Muzau agent books the appointment with Google Calendar, it puts it in your calendar, adds the customer as a participant and, for a video appointment, adds a Google Meet link. The customer is then among the meeting invitees: that is where the agent will take the recap address from. With Outlook, the link is the one from your account's default video tool. The agent does not create Zoom meetings. To set video or in-person appointments, see how to tell the customer.

The video recap addressed to the right invitees

After the call, the agent reads the Zoom or Google Meet summary. The customer's address comes from the meeting invitees, never from a name spoken during the call. With a single participant from outside the company, it is already filled in. With several, the agent suggests them and you choose. Before sending, you can still change the recipient, the copies, the subject and the text: 20 recipients at most, each rechecked against your do-not-contact list.

A recap written for the customer, approved by you

By default, the recap covers what was said and decided, then the next step you agreed on; you can change that content when you create the agent. The agent is instructed never to write that something was said if the summary does not contain it. The recap waits for you in "To approve". If you turn on sending without approval, only the recaps whose customer address is certain go out on their own. A recap with an attachment, or one that quotes an amount or a figure for a deadline that is absent from the summary and the Brain, always waits for your review. A call between colleagues does not produce a recap: the sorting is detailed on the page automatic meeting recap on Teams.

The follow-up kept up until the customer replies

Once the recap is sent, the customer joins the "Customers met" file and a follow-up record opens. If they do not reply, the agent follows up with them by default at D+3, D+7 and D+14, on its own or after your approval depending on your setting: it recalls in one sentence what was agreed and asks for the next step. The follow-ups stop as soon as the customer replies, or someone on the team writes to them from a mailbox Muzau monitors. The detail is on the page following up with a customer after a meeting.

Recap of a call with several people: who to send it to, and with what

On video, the customer often comes with several people, and each expects something different from what follows. A few rules, with or without a tool, help you avoid writing to the wrong person or losing what was shown on screen.

What it does not do

Autonomous does not mean unchecked. You set the level of autonomy of every agent, its limits cannot be crossed, everything it does is recorded in a plain-language log, and one gesture stops it all.

Frequently asked questions

How do you automatically recap a Zoom or Google Meet meeting?
The summary itself comes from Zoom or Google Meet: Muzau does not record the video call or transcribe it. Connect your video tool to Muzau, or forward that summary to the agent's address from a team address: a Muzau agent turns it into the recap email for the customer, which waits for you in "To approve". When you forward it, the "To" field stays empty and you fill it in before sending.
Who should you send the recap to when several of the customer's people were on the call?
To the person who does the next step, with the other participants in copy. For a video call recap, a Muzau agent suggests the participants from outside the company and you choose the recipient: 20 recipients at most, each rechecked against your do-not-contact list.
How long after a video call should you send the recap to the customer?
The same day, ideally before the next call, while everyone still remembers the same things. A Muzau agent drafts the recap after each video call with a customer: all that is left is for you to review it in "To approve" and send it.
Do you still need to send the recap if you already wrote to the customer after the call?
No, if your email already gave the next steps: two emails about the same call blur the message. If Muzau monitors your Gmail or Outlook mailbox, the pending recap is withdrawn, or is not drafted, and the customer's follow-up opens on your own email.
