Serious prospect

How do you know if a prospect is serious before agreeing to a meeting?

To know whether a prospect is serious before agreeing to a meeting, check that they answer the questions that matter: their need, their deadline, who decides. A Muzau agent asks them by email and files their answers. Once everything is in, you receive a card with their answers, a one or two sentence profile of them and a next step already drafted, a meeting for example. You choose what happens next, and you read it over before it goes out.

Why a meeting granted too early is expensive

A prospect writes that they would like to "talk about it". You prepare the conversation, and find out within minutes that they only wanted a price, that their project has no deadline, or that what they are looking for falls outside your offer. That slot could have gone to a customer ready to move forward.

The opposite excess exists too: a long questionnaire before any meeting scares off prospects in a hurry, who are often the most decided. Good screening comes down to a few questions. Asking them, waiting, asking again for what is missing: that is the patient work the agent takes on. The decision to grant the meeting stays yours.

The questions put to the prospect are yours

When you create a Muzau agent that qualifies, you choose the information to gather, ten at most, from a list suggested based on your business. Information marked "as applicable" does not block the file. The agent files what the person said, in their own words, and does not ask again for what they have already given. To choose these questions, see how to qualify a prospect.

A prospect who has not given everything gets a follow-up, if you set it up

By default, a Muzau agent does not follow up with a prospect who has not given everything. You can ask it to, and the follow-up stops when the file is complete, on a refusal or when a meeting is booked: the setting is explained in following up with a prospect on missing information.

The prospect's complete file arrives with their answers and their profile

When every expected question has an answer, it is the software that notices, not the AI. The follow-ups stop, and you receive a card in "To do" and an email. The title carries the person's name and their request. Then their answers to each of your questions, in your order, and who they are in one or two sentences. This profile is drawn from the exchange and keeps nothing sensitive. It is on this card that you judge whether the prospect is serious.

Granting the meeting or declining: the decision is yours

The card offers a meeting or a polite refusal, and, if you chose one for this agent, the planned next step: a quote, a price list, a call back. Only one arrives already drafted, the meeting or the planned next step; the others are written when you choose them. You always read it over before it goes out. For a meeting, the time comes from the first free slot in your Google Calendar or Outlook, from you, or from the availability the agent asks the customer for. The time is never made up. With no free slot, the time becomes a question for you. For a prospect outside your offer, see how to politely decline a request.

The signs of a serious prospect, to check before any meeting

With or without an agent, these markers help you decide. None is enough alone.

Beware of false signals too. A personal email address, a short message or a typo say nothing about how serious a project is. And when a prospect only wants a price, a meeting is not always the right next step: send the price list, and keep your slots for those with a project to discuss.

To a prospect who asks for a meeting without saying anything more, reply in three lines, with two or three questions in the same email rather than one per exchange. For example: "Thank you for your message. So that this meeting is useful to you, could you tell me what you are looking for, and by when? As soon as you reply, I will suggest a time." Their answers will then help you arrive prepared for the first meeting.

What it does not do

Autonomous does not mean unchecked. You set the level of autonomy of every agent, its limits cannot be crossed, everything it does is recorded in a plain-language log, and one gesture stops it all.

Frequently asked questions

What questions should you ask a prospect before agreeing to a meeting?
The ones without which you cannot prepare anything: their need, their deadline, who decides, then what your offer requires. Two or three are enough in a first email. With Muzau, the list is suggested when you create the agent based on your business, ten items at most, and you adjust it.
Should you grant a meeting to a prospect who will not give their budget?
Often yes: a prospect can be serious without yet knowing their budget. Ask for a ballpark figure, or whether they are willing to discuss it during the meeting. With Muzau, information marked "as applicable" does not block the file: the final card arrives even if it stays empty.
Is a prospect who stops answering your questions still serious?
They may be: they might have read your email between two things, without the answer to hand. Ask again only for what is missing, on fixed dates, then stop. With Muzau, this follow-up is configurable, and it does not ask again for what has already been given.
How do you spot a prospect who only wants a price?
They ask for a price or a call without describing their need, and leave your questions unanswered. Send them the price list if there is one, with a single question about their project: their reply will tell you whether there is anything to discuss in a meeting.
Can an AI tell whether a prospect is serious?
A Muzau agent does not decide for you and gives no score. It gathers the prospect's answers to your questions and a one or two sentence profile drawn from the exchange. You then choose what happens next: a meeting, the planned next step or a polite refusal.
